Tags are the labels you attach to applications in Privacy Governance Console (PGC) to organize your district's application list and drive its review workflow. A tag can describe what an app is for; for example, tagging apps with "Curriculum" lets you filter the full list down to educational materials only, or it can signal where an app stands in your review process, such as Approved for Use or Rejected for Use. These aren't separate systems: the same tagging mechanism does both jobs. Because of that second role, the tags you apply don't just help you find an app later; they directly determine the approval status a teacher sees when checking whether that app is cleared for classroom use. Before you begin

  • Role required: District Admin.
  • Before configuring tag-based approval rules, decide which tag names will map to each approval stage (Review Requested, In Review, Approved for Use, Rejected for Use). This saves rework when configuring the App Review Process settings.
  • PGC must be activated in SchoolDay Connect. See Set up Privacy Governance Console.

Create a tag

  1. In the PGC, go to Manage Tags.
  2. Click Add Tag Group in the bottom left.
  3. Enter a name for the tag group (for example, Approval Status or Subject Area).
  4. Click Add new label.
  5. Enter a name for the tag.
  6. Click Save Changes.

Move a tag to another tag group

  1. In the PGC, go to Manage Tags.
  2. Select the tag.
  3. Drag it to the target tag group.
  4. Click Save Changes.

Apply tags to applications

  1. In the PGC, go to Applications.
  2. Find and select the application.
  3. In the left panel, under PII Tags, select the tags you want to assign.

To remove a tag, deselect it from the same panel.

Search for applications by tag

  1. Go to the Applications page.
  2. In the Filter by Tags field, select the tag group name.
  3. Click Apply.

Using tags to control approval status

Tags drive the approval status that teachers see when they check whether an app is ready for classroom use. The status displayed is determined by the highest-priority tag applied to the application.

Status priority (highest to lowest):

Rejected > In Review > Approved > Awaiting Review
  • If Rejected for Use and Approved for Use are both applied, the status shows Rejected.
  • If In Review and Approved for Use are both applied, the status shows In Review.
  • If no tags are applied, the status defaults to Awaiting Review.

Configure tag-based approval rules

Set which tags map to which approval status.

  1. Go to Management > App Review Process in the Admin Console.

  2. In the Tags or Review Status field, select the tag for each stage:

    App newly submitted by teacher

    Tag for Review Requested

    Evaluation in progress

    Tag for In Review

    App meets all district requirements

    Tag for Approved for Use

    App does not meet requirements

    Tag for Rejected for Use

Click Save Changes.

Tip: When submitting a new app for review, always start with the Review Requested tag. Update the tag as the app moves through each stage to keep status accurate for teachers.
