# Monitor shared data

## Use the Enforce dashboard to see what personal data each application receives and start reducing what it can access

The Enforce dashboard shows what personal data (PII) each application receives and how much of it is protected. Governance changes nothing by itself: **Mask** opens a data-sharing request, and the change takes effect when the vendor approves it.

**Note:** Enforce lists only connections whose protection SchoolDay can measure. Pass-through connections, such as SFTP relays, aren't listed, because SchoolDay forwards their files without reading them.

### Requirements

- A Governance subscription. If you don't see **Governance** in the sidebar, ask your account manager to turn it on for your district.
- The District Administrator role. Only your district's primary administrator can send a masking request.

### Find out what an application receives

Use Enforce to see which personal data each application receives and how much of it is protected.

1. Go to **Governance** \> **Enforce**.
2. Read the **Sensitive data exposure** tile. It shows how many applications receive unmasked PII, for example "9 of 11 apps receive unmasked PII."

3. In **Sensitive data by application**, find the application. Each cell shows whether the application receives an attribute masked or unmasked. A cell can also show **Mixed**, a dash, or a question mark. See [Understand masking statuses](https://help.schoolday.com/knowledge/governance-masking-statuses?hsLang=en).

4. In **Shared data**, check how many student, teacher, and contact records the application receives, and how many schools.

5. Select the application's name to open its panel and review its protection, the persons and records it receives, and each attribute's masking.

6. To keep a record, click **Export data** in the panel to download a CSV. See [Export Governance data](https://help.schoolday.com/knowledge/governance-export-data?hsLang=en).

### Review protection by attribute and recent changes

- In **Sensitive data by attribute**, see how well one attribute, such as name or email, is protected across all your applications. Select an attribute to open its panel.
- In **Recent data sharing changes**, see the requests that changed what an application receives, newest first. Rejected requests aren't listed. ### Filter by data type

1. Select the **Data type** filter.
2. Choose a person type, such as **Students**, or one attribute.

Every tile, table, and percentage on the page recalculates for your selection, so you can answer a question about one group.

### Mask an attribute

1. In Enforce dashboard, scroll down to the **Sensitive data by application**.
2. Select an application you want to apply masking to.
3. In the application panel, click **Mask** next to an attribute, or **Mask all unprotected fields** in the application panel.
4. The data-sharing request opens with that attribute already set to be masked for the person types it names. Nothing has been sent yet.

5. Check the selection. If the form asks you to accept the vendor's terms of use or privacy policy, accept them first.
6. Select **Request changes**, review the consent summary, and select **Send request**. Only your district's primary administrator can send it.
7. After the vendor approves the request, the change takes effect. When you come back to Governance, it reads every figure again, and the protection percentage rises.

**Note:** An application showing "Masking not available" beside an attribute that cannot accept a masked value for it. Your options are to narrow what the application receives, or to reconsider the connection. ### Reduce exposure across your applications

- Order **Shared data** by **Most persons shared** to start with the applications that receive the most people's records, where masking removes the most exposure. **Most exposed PII** puts the most exposed applications first.
- Use **Sensitive data by attribute** to decide by attribute instead of by application, so you can choose which attributes deserve blanket masking.

### The protection maximum

When a vendor's settings cap how much SchoolDay can protect, the **Protection** bar in **Sensitive data by application** is hatched past the limit. It reads "Up to N%", or "Maximum reached" once the application gets there. Mask everything the vendor can mask; the rest is a conversation with the vendor, or a reason to stop sending what the application does not need.
