Data Preview Mode: approve syncs before they apply

Manually approve every sync before changes are applied to your district's applications

Data Preview Mode pauses every sync after it completes and waits for your approval before applying any changes. The incoming data set is available for you to browse before you decide.

Use this mode when you need full manual control over every roster update — for example, during a new integration rollout or when your district requires review of all data changes.

Note: Enabling Data Preview Mode disables Safety Threshold settings for the same application.

Requirements

  • Primary District Admin permissions
  • Import application must be activated

Enable Data Preview Mode

  1. Go to Application Settings for the District Application.
  2. Select the Delivery Config tab.
  3. Open Advanced Settings.
  4. Toggle Preview Mode to on.
  5. Select Save.

A Preview Mode indicator appears on the data source icon and on the District Application view. All future syncs for this application will pause for your review before changes are applied.

 Review and accept or decline a sync

After each sync completes, a pending review notification is triggered. Changes are not applied until you act.

  1. Open the application and select the History tab.
  2. Locate the sync entry with a pending status.

  1. Select Show Changes to open the Significant Changes Summary.
    1. This view shows the number of records changed, grouped by entity type (students, staff, enrollments, etc.).
  2. (Optionally) Select Browse Data to inspect the full incoming data set as it would appear after the sync is applied.
    • You can also view duplicates here. Duplicate resolution is not available until you accept or decline the sync.
  3. Select Accept to apply the changes, or Decline to reject them.

After accepting: The sync status updates to Data sync was accepted. Changes are applied to the application immediately.

After declining: The rejection is recorded in the History timeline. The existing data set remains unchanged.

Note: Only the Primary District Admin can accept or decline syncs in Data Preview Mode.

Track sync history

Every accept and decline action is logged in the History tab. Each entry shows the action taken, the username, and the timestamp. Use this to audit all sync decisions over time.

Set up email notifications

Configure email alerts so you are notified when a sync is ready for review.

  1. Go to District Administration > Default Email Notifications. Alternatively, go to My Profile > Email Notifications.
  2. Enable notifications for Data Preview Mode events.

Result: You receive an email each time a sync completes and is waiting for your approval.

Known limitations

  • Duplicate resolution is not available while a sync is pending approval. Duplicates are visible in read-only mode only.
